Pre-Event Preperation

Crowd Comms required a technically robust solution to support a multi-room virtual conference. Our team worked closely with their platform specialists to scope the AV requirements and design a layout that would deliver clarity, consistency, and flexibility across all sessions.

Studio Setup
Box 7 was selected for its acoustic treatment and broadcast-grade infrastructure. We installed a 3.5m x 8m LED screen for the main stage and configured four breakout rooms with green screens, lighting rigs, and sound systems.

Technical Planning
Each room was equipped for seamless camera integration, with dedicated switching and monitoring stations. We also created a chill space for speakers to prepare and relax between sessions.

Client Collaboration
Our team liaised with Crowd Comms throughout the planning phase, adapting to evolving requirements and ensuring every technical detail was aligned with their platform capabilities.

On-Site Execution

The event streamed a full day of content with over 30 speakers, each supported by our AV team across five zones. From keynote sessions to interactive breakouts, every moment was delivered with precision.

Main Stage Production
The LED screen served as the visual anchor for the main stage, supported by professional lighting and audio systems. Our technicians managed transitions, speaker cues, and content playback in real time.

Breakout Room Delivery
Each breakout room featured green screen backgrounds, allowing for branded overlays and dynamic visuals. Lighting and sound were calibrated for clarity, and camera feeds were integrated directly into the Crowd Comms platform.

Speaker Support
Our team provided on-site guidance, tech checks, and comfort monitoring to ensure presenters felt confident and prepared. The chill space offered a quiet zone for final rehearsals and downtime.
