EPIC hosted its first client event in Europe to showcase its innovative medical and wellness software. The two-day event featured conference sessions, a dinner party, and entertainment, requiring flawless AV delivery across multiple spaces. EPIC Europe Client Event: AV Solutions for a Two-Day Conference

Pre-Event Preperation

Our team worked closely with EPIC to design a technical plan that met the event’s diverse requirements. From large-scale plenary sessions to intimate breakout rooms, every space needed tailored AV solutions.

Main Session Design
We installed a large LED video wall as the visual centrepiece, supported by a Martin Audio line array for premium sound. Multiple repeater screens ensured clear visibility for all delegates.

Breakout Room Setup
Each breakout space featured rear projection with custom surround flats, ROBE lighting, and Martin Audio DD6 and DD12 speakers for consistent audio quality. Dolman Hall was equipped with four projectors for enhanced flexibility.

Technical Planning
Our team scoped power, rigging, and connectivity requirements across both venues. Equipment was pre-programmed and tested to ensure smooth integration on-site.

On-Site Execution

The event spanned two venues and multiple zones, requiring precise coordination and responsive support.

Plenary Session Delivery
The main stage featured a large LED wall, 14 radio mics, and three cameras for live streaming and recording. Our technicians managed transitions, speaker cues, and content playback in real time.

Breakout Room Management
Each breakout space was equipped for presentations and interactive sessions. Lighting and sound were calibrated for clarity, and technical support was available throughout.

Entertainment and Dinner Party
Our team provided AV support for evening entertainment, ensuring smooth transitions from conference mode to a celebratory atmosphere.

Post-Event Wrap-Up

The two-day event was a success, with positive feedback from EPIC and attendees. The integration of AV technology and creative design created an engaging experience that reflected the client’s vision.
