    Virtual Event – Case Study

Organising a virtual event doesn’t need to be a scary process. We look back at an event that we delivered back in September in this case study.

At Premier, we have been delivering virtual events since March and have become a trusted partner for our clients looking to take their events ‘online’.

    Brief

To take what is historically an ‘in person’ awards ceremony and to make it a virtual event for 2020. The Business Travel People Awards was to become a virtual event for the first year in its history and the organisers needed help to ensure that it was a success.

Once we had been given the brief, our production team set about creating a bespoke proposal for the event which included use of the Premier Studio. By using the studio, the events hosts could deliver the awards from a TV studio environment that they felt added more gravitas to the event, as opposed to them all being at home.

The client needed a company to manage the stream to ensure that all of their audience could watch the awards ceremony.

    Delivery

To ensure that we could rehearse and stream the event live within a 1 day booking for the studio we provided the following team:

    • Sound Tech
    • Lighting Tech
    • Video Wall Operator
    • vMix Operator
    • Stream Technician
    • Producer
    • Autocue Operator

In advance of the show day we worked with the client to create the bespoke layouts that would host the live stream.

Presenting from a studio was a new experience for all of the hosts and so having plenty of time to rehearse before going live allowed them to get used to the autocue and speaking to camera.

We positioned the 4 cameras in fixed positions for the duration of the show and mixed between angles depending on which of the 3 presenters was speaking. This allowed us to not require camera operators for the studio which was a significant cost saving.

Recognising the event sponsors was a key part of the brief and we did this in a couple of different ways. As part of the stream, these were displayed when the presenters were on stage. We also displayed these logos on the video wall which was visible when we cut to a wide angle of the stage of the presenters.

    Feedback

“Just wanted to say thanks so much for all your help and support on Friday.

I actually really enjoyed the whole experience and that’s thanks to how professional the whole team were so please pass on our thanks.  I’ve had some really great feedback and our social showed people following the results as they came in.

I also had over 60 viewers just on my Facebook so good bonus engagement and I think that’s because it was not too long!

I’m also so glad we were really live, I’ve been asked a few times if it really was and good to be able to confirm yes, we were live 😊
