    Brief

Back in July of this year we were approached by the University of Leicester, in order to help them deliver their annual Discovering Excellence Staff Awards located at Stamford Court. From their initial brief that was sent out, they outlined the importance of the awards evening and certain brand criteria that had to be followed. Their main theming and trademark of the Discovering Excellence is the lightbulb, denoting “invention, innovation and inspiration”.

    Design

Working towards this brief we created a concept from scratch for the awards evening. Keeping in mind the theming of the night with the lightbulb trademark, we designed a concept that encaptured this fully. By using a total of 72 filament drop lights, which would be suspended from the ceiling.

We created a 3D render of what we proposed that the venue would look like for the event, this allowed the client to understand what it was that we were proposing to deliver for them on the night. As you can see the initial design is exceptionally close to the actual event photos.

    Implementation

To tie in with Stamford Court’s architecture the set design proposed was made from several set panels at different heights, covered in a white leatherette. These staggered down on either side to match the sloping roof of the venue. We then applied two full colour print and plot graphics of the University of Leicester’s logo which sat either side of the screen. As well as another graphic print and plot logo for our clear acrylic lectern. This overall look created a modern contemporary look, which was well suited for a prestigious awards ceremony.

Other lighting used for the awards evening were four of our Elation Artiste Davinci’s which sat on 3m high truss podiums, positioned evenly around the perimeter of the room. These hybrid intelligent moving fixtures produced a variety of different gobo and colour effects across the Gilbert Murray suite.

Four Chauvet Rogue R2 intelligent wash fixtures were then side rigged on to each truss podium to give an even spread of colour effects within the room. Whilst another four Elation Platinum Beam fixtures were positioned across the back of the stage. Creating eye catching movements highlighted by the two Unique Hazers we had installed.

To tie everything in together the same LED battens were used across the set and around the perimeter of the Gilbert Murray suite, used as up-lighting. A total of 28 Elation Sixbar 1000 LED battens were used. All the lighting fixtures used, including the 72 filament drop lights were controlled by our Avolites Quartz lighting console. This allowed us to programme a wide range of different effects for each part of the evening, including each award sting and subtle changes were even introduced to signal the end of dinner and that the awards were to start again momentarily.

To create a unique moment for the last two biggest awards of the evening. Four Sparkular units were installed across the front of the stage. These created a real wow effect when the winners were announced, giving the winners that extra special feeling as they walked up to stage to collect their award.

To ensure every word was heard by every presenter on stage we installed a full L’Acoustics PA system. A total of 6 L’Acoustics X8 loudspeakers were used to provide an even coverage across the Gilbert Murray suite. Paired with a pair of L’Acoustics SB18 subwoofers to deliver maximum impact for all the award stings and video content throughout the night. As there were several different presenters each coming up to the stage to present an award, a pair of AKG CK43 lectern microphones were used in order to deliver all citations and speeches.

In order to display a wide range of content, including the main awards deck, videos of all the finalists and a social media wall. We used a 14’ x 7’ 10” fast fold screen which was installed within the set. This was used in conjunction with a Panasonic 10k laser projector using a specialised DLE030 lens which uses multiple mirrors to project the image backwords. This results in a very short throw projection distance and maximises more space. In order to seamlessly switch between the multiple sources, we used our Blackmagic Atem 2 M/E Production Studio, a Blackmagic ATEM Advanced Panel and an Elgato Stream Deck alongside the companion interface.

For the drink’s reception area and the venue’s external areas we decided to dress these up using a variety of our LED spheres. The entrance into the venue had a red carpet laid out with some velvet rope and gold posts, this gave the attendees a royal welcome. We used two of our Sennheiser LSP500 wireless speakers, these were used to playback a voice of god instructing everyone that the main room was now open and for guests to take their seats.

In the lead up to the event we had multiple meetings with the client to discuss progress and content etc. We were sent over all the finalists’ videos and the template for the awards deck a few weeks prior to the event. Our design team then worked on producing a final show ready deck as per the client’s brief working towards the University’s brand guidelines. These meetings were useful in catching up with the whole team involved with the Discovering Excellence Staff Awards.

    FEEDBACK

My sincere thanks to Premier for the amazing staging and technical support for the Discovering Excellence Staff Awards (University of Leicester). The event was slick and professional. It has set the bar really high for next year. Well done and thank you all. What a great team you have.
