Stapleford Park Wedding Planning Case Study

Introduction

Premier UK Events Ltd were at Stapleford Park once again providing full wedding planning and production for a lovely couple who were celebrating their big day on 19th July 2019. Our event management team kick-started the planning process via email and phone calls as the bride and groom were both living in different countries at the time of the planning, neither being the UK.

Wedding Planning

Our event management team worked closely with our in-house production team to ensure that the day would be exactly what the bride and groom had envisioned. After multiple discussions with the couple, we created a comprehensive event proposal that included flowers, cake, entertainment, theming, décor, event management, and production. In order to show the bride and groom a preview of what the rooms would look like, our production team created some 3D renders, which helped bring their designs to life. Our event managers also met with the groom numerous times at our Thurmaston office to go over the finer details such as the table plans, photography list and music playlist.

Prior to the event we set up an onsite consultation meeting for our client where we showcased a variety of different theming and décor options. This gave the client an opportunity to see the different looks within the event space itself. We also arranged for our baker and florist to join us onsite so we could provide a cake tasting session and floral consultation.

Process

Stapleford Park was hired exclusively for the wedding and made good use of all available spaces. The Orangery was used to hold the Nikah ceremony; we dressed the top table and surrounding areas in flowers and installed a white isle runner making it a picture-perfect moment when the bride entered. Once the ceremony was over, the room was emptied, and the Orangery was then used later in the evening as a bar and a sheltered viewing space for the amazing firework display.

After the ceremony, the guests moved over to the Saloon, where drinks and a variety of canapes were served. In this room we also supplied a 50” screen where the table plan was shown for all guests to see. The original plan was to have the table plan printed on a large A0 sized piece of fomex, however, due to some very last-minute changes, we brought in our screen to ensure the guests could see an up to date plan that was edited on-site by our event management team.

Once the Grand Hall was ready for the wedding breakfast our guests made their way back through via the Orangery which had at this point been cleared.

The Grand Hall was set up to really give a wow factor. The ceiling of the Grand Hall was draped with white cloth, adding to the elegance of the room. Around the room we placed our Elation Six bars to enhance the Grand Hall with colour. The bride and groom trusted us to select a warm white colour with peach undertones for their room up lighting, which complimented the theming of the Grand Hall well. Each table was decorated with a floral centre piece and tealights in golden votives to add to the overall wow factor of the room. The centre of the room, in front of the top table was filled with our beautiful 18 x 14 ft white starlit dancefloor. The decadent wedding cake which stood at an amazing 1.2 metres tall was positioned in the centre of the dancefloor as guests entered the room. The cake was made of 4 tiers and was decorated in white flowers with a gold leaf finish.

During the dinner service the bride and groom wanted to add some entertainment that would make everyone stop and watch, and in the end decided that three singing waiters would be the way forward. The singing waiters performed several Opera songs alongside a comedy act that had all the guests up and singing by the end.

We also supplied a DJ who took them and their guests into the early hours of the morning with a party they wouldn’t forget. Premier UK Events Ltd started up as a DJ company, therefore, we know some of the best DJ’s in the field for any event. The evening ended in the Saloon where the DJ finished his set at 2am, and the guests then took over with a playlist of their own to end the night at 4am. We also provided a first-class photographer to capture the special day for the bride and groom, with photos that would allow them to remember the day for the rest of their lives.

Lastly, we provided a PA system throughout the wedding breakfast and evening reception. We provided a main stereo system of 2x L’Acoustics 12XT with true stereo outfills of 2x L’Acoustics X8 either side to provide even coverage to the entire space. A pair of L’Acoustics SB18 subwoofers which extend down to 32Hz were used to control bass. The system was driven by a combination of LA4X and LA8 amplified controllers with each enclosure getting its own individual feed from our control. The control consisted of a Yamaha QL1 mixing console coupled with a RiO1608 Dante Stage box, a MacBook pro using Qlab professional playback software, and a systems pc running Dante Controller and LA network manager to monitor amplifier conditions throughout the day. For the speeches at the wedding breakfast we provided Sennheiser EW300 G3 radio systems to give speakers freedom to speak from anywhere in the room.

Onsite Management

As well as pre-event management, Premier also provided two onsite event managers. Our event managers arrived at Stapleford on the morning of wedding to ensure all suppliers were on site and set up on time. Alongside preparing the event spaces, our event managers also acted as greeters to the guests and were the point of contact for any questions or issues that arose on the day.

On the morning of the wedding our event managers had the task of tracking down some last-minute hair and makeup artists that could come to the venue for the bridal party. Using our extensive network of local suppliers, we were able to secure two artists, and had the party ready on time for the ceremony. The event managers also worked closely with Stapleford Park to make sure that everything was running on time and anything that was needed throughout the evening was provided.
