The Challenge

The primary challenge was managing the smooth check-in of many guests to minimise wait times and avoid the typical registration hassle at significant corporate events. Ensuring a seamless entry process while maintaining an accurate, real-time guest log was paramount for client satisfaction and event success.

The Solution

We leveraged our proprietary “Event Registration Kiosks,” designed to streamline the check-in process. Before the event, guests were registered online and provided a QR code as part of their joining instructions email. This QR code was pivotal for a hassle-free check-in experience at the venue.

Key Features of the Delegate Management Journey:

  • Pre-Event Online Registration: Guests registered for the event online, which helped our team of event managers with the rooming list and dietary information for the venue etc.
  • Email Confirmation: Guests were sent a confirmation email once they registered or changed their event details.
  • QR Code Integration: Each guest received a QR code by email, eliminating the need for physical tickets or name badges.
  • Self-Service Kiosks: Premier deployed 10 registration kiosks at the entrance to the event, enabling quick scans of QR codes and fast-tracking entry.

Staffing and Execution

Dedicated Premier staff were positioned strategically in the queue to assist guests. Their role was crucial in ensuring guests had their QR codes ready for scanning, significantly expediting the check-in process.
