Brief
We were approached by Lincoln College to assist them for the third year in a row with their annual staff and student awards event. The event is to recognise both staff and students’ achievements throughout the year.
The event takes place in the sports hall at the College and our brief is to help transform the hall into an event space befitting of the occasion.
Process
Having worked at the venue for this event previously, the quoting and proposal process was fairly straightforward for this event. We already have a good understanding of what equipment works well in the venue.
Our production team created an itemised proposal for the client to consider as well as a 3D sketch showing what the itemised list of equipment will look like when in situ. We find that these 3D visuals make it really easy for clients to visualise what the finished event will look like.
Equipment Used
To help lose the sports hall look and feel of the venue our team used black wool serge drape around the perimeter on the side and rear walls. Starcloth was utilised along the wall which housed the staging and projection screens to ensure that this was a focus for the event.
Our team provided all of the tables, table linen and ice chiavari chairs for the event, 280 chairs in total. The ice chiavari chairs with their black seat pads work really well with black table linen.
For the audio element of the production we installed an L-Acoustics system comprising of SB18’s, KARA and 12XT’s as monitors, powered with LA8 amplifiers. Lectern microphones and DPA headsets were provided for the compere and hosts. A selection of microphones were also provided for the band
Video content was in the form of both PowerPoint and VT’s, we used dedicated Windows show laptops for the PowerPoint content and a 15” Apple MacBook Pro for the VT playback. All inputs were processed through an Analogue Way Pulse seamless switcher / scaler. A 14ft projection screen was installed at the back of the stage and was projected onto using a Panasonic 5.6k HD projector.
Lighting was a mixture of generic and intelligent effects and all controlled by an Avolites Quartz lighting desk. We installed 6x 3m tall H30v truss podiums around the perimeter of the venue, on these we positioned an Elation Artiste DaVinci as well as a pair of Chauvet Rogue R2 wash’s.
ETC Source 4 juniors were mounted on tripod stands and used to project snowflake images around the venue, whilst 750W Source 4’s were used as stage wash.
Feedback
We really enjoy working on the event, the college provide us with 30 students to help with the install which is a really good experience from them.
Our client said after the event:
We got great feedback on the whole night. Thanks to you and your team for all your help.
