    Premier’s event management team supports innovations and Technology Showcase.

    BRIEF

    Back in July we were approached by Inspired Thinking Group to assist in the organisation and management of their Innovations and Technology showcase, housed within the Evolve Event, hosted by The Oystercatchers Club.

    Evolve is a chance for over 200 brand-side marketing leaders, agency chiefs and media professionals to exchange ideas and extend their professional networks. We helped ITG to deliver an extra level of engagement to the evening with their technology showcase, giving guests the opportunity to experience the latest advances in innovative technology ideas.

    PROCESS

    Premier Events was involved pre-event by designing exhibition floorplans to determine the positioning of each activation and ensure that each item had a sufficient power supply. We also aided ITG’s suppliers with their logistics and installation by scheduling and communicating delivery timings. We booked and managed crew members to assist with the heavy lifting onsite which proved invaluable to ITG’s suppliers as there was no lift in the venue and a twisting staircase to navigate!

    Two of the most popular activations within the Tech Showcase were the full body 3D Scanner and a VR Parachute.

    Guests could step in to the 3D Scanning Machine and have their body mapped to create a miniature 3D model of themselves. We created an online form for users to fill in before using the machine to confirm the use of their personal data ensure we were conforming to GDPR guidelines. After the event we matched the data to the 3D scans to ensure each guest who took part was sent the right figurine. These figurines were encased in personalised packaging featuring their names.

    The parachute VR allowed guests to experience the sensation parachuting from a plane, without leaving the safety of the event! Guests were strapped into a suspended harness and given a VR head set which would simulate their descent from the “plane” to the “ground”. The Dutch company that supplied the tech required our assistance with their logistics, and hired a 65” screen from Premier for their VR display too!

    EQUIPMENT USED

    On the morning of the event we installed two on-site internet connections which would provide a hard-wired connection for the 3D Scanner and a high speed 4G connection for ITG staff at the event.

    Occasional lighting was provided throughout the venue using our Event Spots which helped enhance the architecture of the venue.

    To capture the event, we set up a Sony PMW-350K Camera at the back of the room on a tripod. We also set up a stage platform for this and the video technician to stand on at 0.6m in height to ensure the footage was above the audience head line and only capture the presenters on stage. The camera feed was plugged into our Atmos Samurai Blade HD video recorder, allowing us to record the video and edit post the event. We then took an audio feed from the inhouse mixing desk, which also plugged into the Samurai Blade, allowing us to capture the onstage microphones and to sync the audio to the video live reducing the need to do this post the event.

    We also provided a Videographer to create a highlight video of the event to include both aspects of the event including the innovation showcase and speakers.

    ON SITE MANAGEMENT

    Our Event Director and Senior Event Manager were onsite throughout the entirety of the event to provide support to the client, manage supplier deliveries and installation. They also greeted guests, managed the mirror, and liaised onsite with the Oystercatcher event team.

    The install took place over 1.5 days, however once the live event was over, we only had two hours to clear the space! This took some serious logistical planning, as access to the venue was tight, however with the additional crew members we brought in to assist, and some good time management we were able to de-rig on time and save our client from incurring any additional fees!

    POST EVENT

    After the event we provided the client with photographs of the technology showcase, captured by our onsite photographer. Our videographer on site also produced a highlights film showcasing the ITG activities and the wider event. photos and highlight film from the event and assisted with 3D Figurines and data protection guidelines.
