We were commissioned to provide AV support for a corporate conference at The Hawthorns, the home of West Bromwich Albion Football Club. The conference was to take place in the Millichip Suite on the first floor of the stadium.

Following on from a site visit with the client and event manager, Carolyn Acton Events we provided the client with an itemised quotation as well as a 3D visual. At Premier we understand that although itemised quotations are useful, unless you know what each item of equipment does then they can be quote confusing. We find that by sending clients a 3D visual of the event that they can see what the equipment booked will look like on the day.

The conference itself was for Riverside, a provider of social housing in the UK. We provided the following AV equipment:

    Set, Screen & Stage

A 6m x 2m stage was installed for the presenters to stand on for the conference. The stage itself was carpeted in black carpet to give it a smart appearance. The front of the stage was also covered using a black cotton material, this allows us to hide the legs of the stage as well as underneath it.

A metal lectern with acrylic front was placed on the stage, with its inbuilt microphones this smart in appearance lectern was also practical.

The set was 20ft in width and 8ft high. The set structure was the same width as the stage and so aesthetically pleasing. All of the set panels were felted in a teal colour to match the clients corporate colour. Due to the layout of the room, 3ft set panels were used as ‘returns’, this avoided guests from being able to see behind the set itself.

    Audio

Due to the size of the room and number of guests in attendance a 2 speaker PA system was utilised for the conference. The L-Acoustics 12XT speakers are a superb sounding and aesthetically pleasing speaker, we used 2 of these on the day.

Background music was played using our media player rack which incorporates CD and USB inputs.

A mixture of hand held wireless microphones as well as lectern microphones were used for the presenters. All audio inputs were processed using a Yamaha LS9-16 digital sound desk.

    Lighting

The stage was lit using 4x profile lights, this allowed us to dim the house lights but for delegates to clearly see the presenters on the stage.

Our super bright Elation SixBar 1000 LED battens were placed around the perimeter of the venue, set to a teal colour and used to wash the walls in the clients corporate colour.

The set panels were also illuminated using the same LED battens.

    Video

An 8ft x 6ft rear projection screen was inserted into the set and stage structure, this was to be the focal point on which all content was displayed.

Due to the space constraints within the venue we opted to use an Epson ultra-short throw projector as the main video output. Needing only a fraction of the space required than a standard projector this really helped us to minimise the space that we required.

Content was in the form of a PowerPoint presentation as well as a video. A mixture of windows and apple laptops were used to play the content and a seamless switcher was used to allow us to seamlessly switch between each input.

A 27” comfort monitor was positioned in front of the stage to allow the presenter to be able to see the content being displayed behind them on the main screen.

The event was a big success and the client delighted with the products and services that we provided. We look forward to working with them on their next event.
