Brief
We were tasked with creating a winter wonderland themed Christmas party for our client. The party was to take place at Whittlebury Hall in Northamptonshire on the first weekend of December 2016. We have worked with this client at this venue for a number of years and so we were keen to ensure that this years Christmas party was memorable for the guests as well as being on theme.
We met the client back in March where we discussed the brief and event styling for the party. It was decided that for this year’s party Winter Wonderland would be the theme for the night. Based on this our production team then set about designing a solution that met the brief and budget.
Pre-Production
Using our rental system Current, we were able to create an itemised quotation outlining all of the individual elements that we would need to take to site to create our vision for the venue. At Premier we appreciate that a detailed list of kit can confuse our clients and so we created a proposal document which summarised the itemised list and allowed our client to have a clear understanding of what we would be providing on the night.
As with all of our events, the production team created a Risk Assessment, Method Statement and supplied copies of our insurance and portable appliance testing equipment to the venue in advance.
Build
The day began with a 06:00 load at our warehouse, with a team of crew brought in to load the 40ft articulated lorry with the equipment we would need for the event. Our technicians and event crew arrived at the unit for 08:00 and we were on site for 09:30 ready to begin the install.
To ensure that we could install all the AV and décor equipment before the party started we employed a team of 8 people. The team was made up of a Project Manager, Sound Technician, Lighting Technician, Video Technician, a General Technician and 3 crew as well as the truck driver.
To keep with the winter wonderland theme for the party we draped the perimeter walls using a white pleated drape. This was uplit in an ice blue using high powered LED battens and to finish the look had white snowflakes projected onto them.
A white starlit ‘twinkling’ dance floor was laid under the truss box structure to ensure that guests had enough space to dance on to the sounds of the live band and DJ.
To ensure that all guests could see the award ceremony that takes place on the dance floor at the start of the evening, our team installed discreet HD cameras in the venue allowing us to stream the action onto 6x large format HD screens which we positioned around the venue.
Audio was covered using an L-Acoustics PA system comprising KARA, SB18’s and 8XT’s as a front of house system with 12XT’s being used as monitors for the band.
It was important that we try to keep the event looking fresh and so for this year’s event we also supplied our chiavari chairs which were in keeping with the theme.
Lighting was a mixture of generic and intelligent fixtures and ensured that we could create a party atmosphere when the band and DJ were in full swing.
A wide range of illuminated furniture was also supplied, this included poseur tables, cubes, sofa and low level seating options for guests to sit on and socialise after the meal.
Premier provided a whole host of other products and services, including a photo booth manned by professional photographers who then streamed the images to the screens in the venue, table centres, AV for a separate drinks reception area, red carpet with flame lights for arrival and décor in a marquee attached to the function suite where the casino was located.
Feedback
Feedback from the client was excellent, with one of the senior members of the team commenting that it was the best that he had ever seen the venue look.
We look forward to being able to improve the guest experience for next year’s event.
