We were approached by Carolyn Acton Events back in March this year to assist with putting on a 50th Birthday Party for one of her clients at a private house in Melton Mowbray, Leicestershire. The event was a fairly small gathering held in a tipi with guests enjoying an array of food, drinks and entertainment.
While this was a small event in terms of the number of guests, the production element of the event was quite substantial. Premier provided all of the power needed for the event as well as a 15ft x 15ft Parquet Dance Floor, Event DJ, PA Systems, Chiavari Chairs, Tables & Linen, Magic Selfie Mirror, LED Blossom Tree and a Project Manager. Due to the nature and scale of the event we needed to provide a pre-production service that included all of the necessary risk assessment and health and safety documentation, technical drawings and general project management. We do risk assess every event we work on but with us installing a power generator, this event needed closer attention.
We performed load calculations in advance to ensure the system we supplied would be able to supply sufficient power. We specified a pair of 100KVA three phase, synchronised generators. Both were on load during the event to ensure that if one encountered an issue, the other would continue to provide power. The generators were positioned around 100m away from the tipi to keep the noise to a minimum, with 125A 3 phase cable running into a 400A mains distribution board, positioned inside the marquee/ kitchen area. From this we could pull the designated power to the specific areas, each having their own RCD to ensure faults remained isolated.
To decorate the tipi, we provided our LED Blossom Tree, this sat in the centre of the tipi and was visible from the outside to invite guests in. We provided our Limewash Chiavari Chairs, 6ft Round Tables and Table Linen for the area where guests would eat their meal. Our Event DJ set up on the other side of the tipi with the 15ft x 15ft Parquet Dance Floor and the Magic Selfie Mirror.
The Magic Selfie Mirror was a big hit with all the guests. The children took full use of the Mirror throughout the event and the adults got involved a bit more after dinner had finished. The client wanted the party to feel like a festival so the print out design reflected this. Our DJ, Nigel, provided background music during the arrival drinks and meal then got everyone on the dance floor towards the end of the night. Nigel was also responsible for the soundtrack that accompanied a 9-minute firework display that had been carefully choreographed for the event.
The PA System provided by Premier needed to fulfil a number of functions. Guests needed to be able to hear the DJ all around the garden area during the arrival drinks, the client wanted a handheld microphone for speeches and to use during a mid-meal activity they had organised. A further system was used for the music that accompanied the firework display.
In terms of staff for the event we provided a Project Manager, sound technician and our Magic Mirror Host to run the Magic Mirror. A Magic Mirror Host is something we provide as standard with the Magic Mirror to make sure it runs correctly and everyone knows what they are doing. Our Project Manager was responsible for the event from the outset. His role prior to the event was to liaise with the client about the event and then on the day he was there to ensure everything ran smoothly and was done correctly to the client’s needs and the event specifications.
